Sales Operations Specialist

The Big Picture

Zoobean is seeking a full-time Sales Operations Specialist to provide support to our public library and school sales team. In this role you will research and update customer and prospect information, set up appointments, provide support managing contracts and invoices, and complete sales reports. This role is ideal for someone with approximately 1 to 2 years experience in business who is organized, highly motivated, and eager to learn the ropes and build a career in sales.


Research and update customer and prospect information:
  • Extensively research and update our database of customers and prospects. Includes researching district procurement websites and tracking upcoming school district RFPs, building informed lists for the sales team to target and prioritize
  • Manage sales pipeline leveraging our CRM (HubSpot) and provide support to the team in maintaining updated deal flow information and keeping the sales pipeline moving along in a timely manner
  • Assist in organizing weekly sales demos and webinars. Manage attendee reports and provide support managing attendee Q&A
Set up appointments and coordinate sales calendars:
  • Coordinate with sales vendors to manage cold calling efforts and import updated prospect contact lists into HubSpot
  • Contact customers and prospects to set up meetings for the sales team
  • Update sales pipeline information in HubSpot by adding leads to a sequence and syncing with calendars of the members of the team
Provide support managing contracts and invoices:
  • Assist in creating, updating, and keeping track of contracts. Undertake necessary analysis to support in finalizing pricing and contracts
  • Follow up with customers on contract renewals and outstanding invoices
  • Create pricing overviews based on product type and updated pricing tiers
Complete sales reports:
  • Assist in HubSpot reporting and workflows so that it's delivering efficient and effective support to the team
  • Assist in creating and updating periodic sales reports to inform sales efforts and goal-setting process
Sales conferences:
  • Provide administrative support during sales conferences including managing logistics and coordinating with organizers and our internal design team to arrange exhibitor kits

Education and Experience

  • Bachelor’s Degree required
  • 1+ years professional experience
  • Ability to handle multiple tasks and competing priorities at the same time, completing tasks in a timely manner
  • Exceptional attention to detail and organizational skills
  • Highest level of professionalism and integrity

  • Exceptional communicator, both verbal and written

  • Strong relationship building skills, both internally and externally
  • Ability to adapt to change in a fast-paced environment

A Big Plus ++

  • Experience using a CRM software like HubSpot and Salesforce
  • Location: Washington, DC

Salary and Benefits

  • Salary will range from $60,000 to $70,000 commensurate with qualifications and experience
